Please read the following information carefully. Please read the following information carefully. A signed agreement for along with payment must be received (by web or hard copy) for your space to be reserved.

All information provided on the booth application is subject to the provisions of disclosure under the Open Records Act. All times listed are Central Standard Time.

Booth Information

  • Booth spaces are 10×10. Vendors must stay within the perimeters of the assigned booth and avoid interference with other booth spaces.
  • All vendors must have tents or awnings.
  • All tents are required to have at least 35 pounds of weight per leg.
  • There are no guaranteed space locations. Please do not ask to be moved.
  • Vendors must provide their own tent, tables, chairs, extension cords, equipment, and staffing. Each vendor will be responsible for assuring safety and security in and around their booth in a manner that minimizes risk or hazards to the public (e.g. grills and appliances attended, extension cords not tripping hazards).
  • Vendor’s space is on pavement with limited electrical hookups available (extra fees will apply).
  • You may not give, sell, or lend your booth space to anyone else.

Vendor Guidelines

  • NO CHALK. Please do not bring your own chalk to the event.
  • All items must be APPROVED in the application. RRAAC reserves the right to reject those applications not in good taste. Applications lacking a detailed list will be denied.
  • Vendors may not sell items deemed inappropriate by RRAAC.
  • RRAC reserves the right to deny participation to any organization/sponsor.
  • Amplified sound/music may not be broadcast from booths at any time.
  • Whisper quiet (only) generators are allowed; however they must be noted on the application.
  • Vendors are responsible for keeping their booths neat and presentable at all times. All stock, boxes and personal items must be kept out of sight.
  • Vendors are responsible for keeping their booth area clean during and after tear down. Vendors are responsible for any damage to exhibit grounds.
  • All themes, content decoration, etc. of each booth is subject to prior approval by RRAAC.
  • Festival is held rain or shine. Vendors will be expected to participate regardless of weather conditions.

Items prohibited

  • Chalk
  • Silly string
  • Water balloons
  • Handing out group literature
  • Raffles
  • Pets (unless approved by RRAAC)
  • Smoking, tobacco, and/or alcohol is not prohibited in vendor booths or on event grounds.

Sales Tax

Sales tax must be collected and reported to the Comptrollers office; this is required by state law and is the vendor’s responsibility. For information on obtaining a Texas sales tax permit, please contact the Comptrollers’ office or call (512)463-4600 in Austin. We are not qualified to counsel you on tax information.

Food Vendors

All food vendors must obtain a temporary food permit from the Williamson County and Cities Health Department. Forms are available at wcchd.org. Permit fee is $35.

Safety

  • All vendors are encouraged to be sage and encourage a positive and family friendly attitude.
  • Please issues should be reported to an RRAAC board member at ArtSpace.
  • RRAC is not responsible for any lost, damaged, or stolen property.

Setup

  • Saturday, October 6 at 8am
  • All vendor set-up must be complete by 9:45am
  • Streets close Friday, October 5 after 2pm. You may bring your trailers at this time, but leaving it overnight is at your own risk. No security will be provided.
  • Vendors will pick up space assignment the morning of the event.

Parking/Loading

  • Parking and loading varies according to a vendor’s booth location. Look for signs.
  • Vendors will check in at the intersection of Main and Lampasas and then proceed east on Main Street to unload.
  • Vendors are allowed to unload items using Main Street beginning at 8am. Please note that all vehicles must be cleared from the event grounds by 9:45am.
  • Parked vehicles may not block other cars from passing through the area.
  • Vehicles cannot block emergency access at any time.
  • Once unloading is complete ALL vehicles must be moved to a legal parking space (parking is available at the parking garage or nearby side streets outside the street closure area).
  • Vendors are encouraged to park in the parking garage as this will provide convenient parking for customers.

Tear down

  • Events on Saturday end at 8pm, but vendors can start take down at 6pm. Vendors who choose to take down prior to 8pm will not be allowed to bring vehicles inside the festival boundaries to load up as the event will still be running. You may park your vehicle at the blockades at the end of the event boundaries (except at Main and Lampasas).
  • Take down earlier than 6pm on Saturday is not permitted.
  • Garbage carts will be provided for clean up.
  • Each vendor will be responsible for cleaning up their booth area before leaving the event grounds. Failure to do so will result in FINES.
