Call For Art & Exhibition

Round Rock Arts (RRA) is now accepting artwork submissions for the 2019 show re[IMAGINE]. There is no theme. This is a juried and judged show, providing cash awards.

Age of Entrants:

Entrants must be 16 yrs of age or older as of February 16 2019. Parental consent required for entrants under 18.

Media Accepted:

  1. 2D and 3D art to include all media (drawing, painting, mixed media, sculpture, photography, textile art, and similar materials)
  2. Entries must be original works, entirely that of the entrant.
  3. Size: Maximum 4 ft on any one side. No minimum.
  4. Weight: maximum 50 lbs.

Liability:

RRA and Texas State University-Round Rock (TSU) assume NO responsibility for loss or damage of artwork. Every precaution is taken to protect exhibited work. Artist may obtain insurance if desired. The artist will be required to sign a waiver of liability form as part of the submission process.

Important Points:

  1. No work is accepted that requires shipping to or from the venue.
  2. All work must be delivered and picked up at the place and time frame indicated in this document.
  3. Work must meet all requirements in the call. Contact RRA if unsure.
  4. Art must be family –friendly in nature as it will be displayed in a public space where minors are present.
  5. No work may be accepted if it was in another RRA TSU event in the past year (2018).
  6. All work must be fully dry.
  7. Round Rock Arts reserves the right not to consider artwork that does not to meet the requirements, including size, weight, quality of hardware and stability of framing, acceptable image , payment of submission fee, completed form.
  8. Artist must present the accepted work at time of installation. No substitutions allowed. All work must remain on display for the full duration of the exhibit.
  9. No work requiring electricity accepted.
  10. Artist must provide any pedestal/stand that is required for the artwork.

Submission Procedure:

  1. Submissions due on-line by January 26, 2019 at midnight.
  2. Submission fee $35.00 for 1 to 3 pieces of artwork (total fee). Maximum number of entries is 3 (in any combination of works)
  3. Artworks may be submitted in jpeg, png, or gif formats only. Limit size to 2MB or less. Crop photo so only the image of the work is seen, not framing, etc. Label the image file with your last name, first name, title of painting, size (HxW)- (ie Smith_Jane_Sunflowers_10x8.jpg
  4. Fill out the form completely. When completed, you will be forwarded to PayPal for payment of fee. The submission fee is nonrefundable and does not guarantee that work will be accepted in the show.

Requirements For Preparing Your Work For Exhibition

2D works and Photography:

  • Framed work: Wired for hanging. Must have D-Rings and picture wire that can support the weight of your work. No sawtooth hangers accepted.
  • Work supported by a dowel. Have either grommets or wire for hanging . No sawtooth hangers accepted.
  • Unframed stretched canvas, 1” minimum depth: The canvas is fully wrapped. The sides are painted. No staples are visible. Wired for hanging. Must have D-Rings and picture wire that can support the weight of your work. No sawtooth hangers accepted.
  • Cradle boards, 1” minimum depth: Painted/stained or original unpainted sides Wired for hanging. Must have D-Rings and picture wire that can support the weight of your work.
  • Metal substrate: May be printed or painted on metal without a frame. The artwork must be hung on wire that can support the weight of the work and meets the weight limitations.

Dimensions of 2D work:

  • Will not exceed 48” vertical and 48” horizontal overall (multi-part physically connected work must fit within these final dimensions) including the frame.
  • Will weigh 50 lbs or less.
  • Framing: Remember- frames are included in the total size of the work. All hanging works must be wired with D-rings and heavy picture wire attached securely for hanging.
  • Glazing: All works on paper or fragile surfaces must be framed and under protective Plexiglas or glass.

3D works, including Sculpture, Fiber Arts, and other dimensional material:

  • Pedestals for display must be provided by the artist. Must be set in place by the artist under supervision. Display cases are available for fragile and small pieces.

Dimensions of 3D work:

  • Will not exceed 48” on any side (excluding pedestal).
  • Will weigh 50 lbs or less (not including pedestal).

Hanging directions for 3D work:

  • Each part of multi-part works must be labeled and include a diagram for hanging or assembly on each part when not being placed by the artist (for when art work is hung on the gallery hanging system vs. placed on a pedestal supplied by the artist).

It is your responsibility to check your email, Promotions folder (Gmail), All Mail folder (Gmail), or spam folder after this date to look for the announcement telling you if your works have been accepted or not. If you are using an email blocker that requires a verbal verification or other response, ensure you add to such programs the acceptance of email coming from the domain roundrockarts.org.

Texas State University-Round Rock Campus, 1555 University Blvd, Avery Bldg. You may pull up to the front entrance on the circle drive.  Take work to 4th floor.

Saturday, March 9, 6:00pm – 8:30pm Reception and public opening.

Texas State University-Round Rock Campus, Avery Bldg,  3rd and 4th floors.

Light refreshments, music, and awards ceremony. Event is free and open to all.

Saturday, April 6, 2019 from 10:00am – 12:00pm Pick up art from Texas State University-Round Rock. If art work is picked up by someone other than the artist, a note or email must be provided allowing some other person to pick it up.

Artist Agreement & Waiver of Liability

The Artist's Agreement In consideration of the opportunity to display my work to the public, and other good and valuable consideration, the adequacy and sufficiency of which is hereby acknowledged, I, the undersigned artist, hereby agree that by submitting my art I consent to the terms of this Call for Artwork Submissions and certify that the art that I am submitting is my original art and that I am the author and creator of such art. I acknowledge that RRA reserves the right to accept or deny any submission with or without cause. I further agree to grant RRA permission to publish in all media, my name, artwork, and my location for use in press releases, print, television, and the internet. I further agree to participate in a program whereby the RRA may release such information to other persons and entities. I acknowledge that I have read and understand all terms contained in this Call for Artwork Submissions and agree to be bound by its terms.

The RRA and its partner gallery sponsors will not assume any responsibility for loss or damage to your artwork(s) or the loss or damage to frames or glass, no matter how sustained. Reasonable safety and electronic security precautions are in place to ensure added protection of your work. The RRA strongly suggests that all exhibitors carry their own personal property insurance. Current partners include Williamson County (Jester Justice Center), the city of Round Rock (ArtSpace), and Texas State University- Round Rock Campus.

No artwork, regardless of whether it has been sold during an exhibition or before installation, may be removed from the exhibition until the ending date of the exhibition. It is the responsibility of the artist or client to notify the RRA in writing or by email if a third party pick up artwork at the conclusion of the exhibition.

The sale of artwork is facilitated by Round Rock Arts (RRA) which does allows exhibiting artists the opportunity to post sales prices through this submission process. RRA is not responsible for the promotion of sales of an individual artist’s work. The delivery of sold works is the responsibility of the artist after the exhibit ends.

The artist/organization pays a gallery fee of 20% of the total sales price for each artwork sold during the exhibition. The purchaser will pay Round Rock Arts the sales tax as part of the Round Rock Arts transaction, which will be reported to the Texas State Comptroller’s Office. Round Rock arts will pay the artist 80% of the sales price, excluding sales tax, once the purchaser has paid for the art piece. It is expected that all sales during the exhibition will be made through Round Rock Arts.

After the close of the exhibit, the artist will remit to Round Rock Arts the 20% gallery fee based on the total pre-tax sales price for any sales made between the buyer and artist during the 30 days following the close of the exhibit. The artist will also be responsible for filing sales tax when sales are made between the artist and buyer.

Federal Tax implications from cash awards and sales transactions:

When cash awards are provided or art work sold through Round Rock Arts, artists receive their awards or payment of sales after an IRS W-9 form is completed. This occurs annually. Cumulative annual income of awards and sales of goods provided to individual artists, which reach the minimum amount based on IRS regulations, will result in a 1099-Misc income tax report provided to the artist and IRS according to IRS regulations.

Waiver of Liability

Once I submit this form electronically or by paper copy, I (the artist), my heirs, successors, and assigns, shall indemnify and hold the RRA and appointed officers, volunteers, employees, harmless from any and all claims, costs and liabilities for any artwork damage, personal injury, death, or other property damage which is the result of handling and displaying the artwork at ArtSpace, Jester Justice Center, or Texas State University-Round Rock. Our partners’ employees or contractors are likewise held harmless from any and all claims from the artist, heirs, successors or assigns from any artwork damage, personal injury, death, or other property damage, and related costs and liabilities, which is the result of handling and displaying the artwork.
